Direct Booking Form

The Direct Booking Form allows you to place a booking form on your website and customers to book directly with you, make an enquiry or order catering. This places the booking directly in the calendar, bypassing the enquiry stage.

You can view any direct Bookings directly in the calendar – or in Events > Direct Bookings

The Direct Bookings can include the event space, food & beverage. You can integrate with Stripe or Paypal for payments or allow customers to Pay On Account.

You can set up which customers are allowed to Pay on Account on the Customers Page – Customers > Customer List

Set Up

The Set Up page includes the booing form details and the ability to create a javascript code to embed the form directly on your website.

You can create multiple forms & javascript codes depending on your requirements. To Add a new form click on the Add New button.

To set up the Individual Forms, click on the configuration cog next to the form name and test url

The following fields can be configured when creating a Direct Booking Form:

Confirmation Email Options

You can also configure the emails and templates to confirm a direct booking with the client as well as who it sends the emails to:

Event Space Details

The event space details allows you to add information that the client sees when selecting the space in the direct booking form. You can also add an image of the space and any description.

Food & Beverage

Catering & Beverage Menus

In Direct Bookings > Food & Beverage > Menus you can select which items are available to the customer. Next to the Menu Name, click on the Edit Icon to view the options.

The options include

• Show As Cost PP
• Lead In Time

Catering & Beverage Packages

In Direct Bookings > Food & Beverage > Packages you can select which Packages are available to the customer. Next to the Menu Name, click on the Edit Icon to view the options.

Testing the Form

Once you have completed the set up - Click on the URL next to the form name on the Setup Page.

You will be able to test the form and the settings and make any changes you need.

Notes about the Direct Booking Form.

The customer will need to create an account (login) to access the Direct Booking Page.

The Customer can look at the room availability and only choose an available space.

The customers details will prefill based on their account information.

The next step is to select Food and Beverage, serving times and dietary requirements. Once they have confirmed that the details are correct, they then will be prompted to pay, if they are not “Pay on Account”. Once the payment is complete, the event will be added directly to the calendar.

The customer can log back on to the Direct Booking Page at any time and view their order and booking details.
